Description
The Registry is seeking candidates with full charge bookkeeping skills to assist the Financial Manager in day-to-day accounting and grants/contract management tasks, and to provide some general administrative support for the Registry's operations.
PRIMARY RESPONSIBILITIES
The primary responsibilities of the Bookkeeping/Administrative Assistant include:
Bookkeeping and Financial Grants and Contract Management (60%)
- Accounts payable, paying bills, processing checks
- Contacting vendors with accounting questions
- Accounts receivable, issuing invoices, entering deposits, following up on unpaid invoices
- Reconciliation of bank statements & credit card statements
- Assisting Financial Manager in annual audit and tax filing
- Employee timesheet management including collection and logging
- Grant tracking and assisting in preparation of financial exhibits for grant applications and reports
- Assisting Financial Manger in contract management
Operations and Administrative Support (40%)
- Managing logistics for Registry meetings and events, including the Registry's annual conference, policy study trips and workshops for Registry members.
- Benefits administration including vacation/leave tracking and Section 125 plan administration
- Provide general administrative assistance as necessary
QUALIFICATIONS:
Candidates should have the following basic qualifications:
- Four or more years of accounting/bookkeeping experience
- Extreme proficiency in Microsoft Excel and QuickBooks
- U.S. citizen or legal right to work in the U.S.
Ideal candidates will also have:
- College or university degree
- Experience in grant and/or contract management, especially with a non-profit organization
- Human resources experience
- Event planning experience
- Knowledge of, and/or interest in, environmental issues relating to climate change
