Position Overview:
The Climate Trust is seeking an experienced administrative associate capable of handling a variety of responsibilities. This person is directly responsible for two key areas, namely, providing general administrative support and spearheading the revenue development team contact management, reporting and research. Responsibilities of this position involve a variety of administrative tasks for the entire organization, including providing support to the President and staff, managing vendors, supporting the hiring process, and providing assistance on accounting processes. The revenue support responsibilities include contact management, report generation, managing important client communications, and providing research to the revenue development staff as needed.
Responsibilities:
General Administrative Support
- Manage vendor interactions for organization's accounts, as well as coordinate assistance with IT and other maintenance needs with outside vendors
- Routinely manage ordering office supplies, equipment, furniture and third party services
- Facilitate and manage the staff meetings, minutes, and staff calendar
- Provide assistance on bank statements, invoice/check processing, deposit records and expense reports
- Receive and direct visitors and other reception activities
- Support the complete hiring process and manage other general inquiries
- Schedule quarterly Board of Directors meetings and prepare meeting materials
- Support the President and staff on meeting scheduling, travel and event arrangements
- Assist the President and staff with general correspondence, project reporting and document distribution
- Provide SalesForce.com management and administration for organization
Revenue Support
- Manage SalesForce.com contacts, records, report creation and list generation
- Record and produce minutes for weekly revenue development meetings
- Prepare follow up documents for clients including thank you notes and other memos
- Research business leads for prospective clients and donors
- Write background briefs in support of the revenue development process
Qualifications:
Required Talents:
- A minimum of 3 years of administrative and/or revenue support experience
- Excellent interpersonal, and verbal and written communication skills
- Proven customer service skills and techniques particularly with vendor management
- Proficiency in SalesForce.com, Microsoft Office Suite, and Adobe Acrobat
- Knowledge of operational office equipment such as copiers and projectors
Preferred Talents:
- Bachelor's degree is preferred
- Knowledge of fundraising and revenue development program requirements
- Experience working in a growing and entrepreneurial non-profit organization
- SalesForce.com Certified Administrator is preferred
- Proficiency in Adobe Design Suite and Adobe Contribute
