JOB DESCRIPTION
A full-time Administrative Assistant is needed to assist the Director of Programs in all aspects of the daily operations and administration of the entire (ESC) Program Staff. This includes the following major responsibilities:
*
Provides assistance to the Director of Programs and Program Managers wherever necessary;
*
Answers the phones; Makes copies;
*
Responds to initial telephone or in person inquiries and refers them to the relevant staff member;
*
Maintains the filing system; Assists with the reimbursement of program subsidies;
*
Delivers inter-office mail, faxes and miscellaneous information;
*
Prepares meeting minutes; Makes travel arrangements;
*
Participates in Program Staff?s planning and coordination efforts;
*
Assists the Office Manager in coordinating the organization?s administrative services;
*
May assist the IT and Program Managers with data base assignments;
*
Performs other duties as assigned;
*
Prepares and organizes packets of information and multi-piece mailings.
QUALIFICATIONS
Education/Experience
*
High school diploma or G.E.D; and
One year of office experience; or
*
Equivalent technical training, education, and/or experience.
Abilities/Skills
*Ability to gain working knowledge of ESC?s policies and procedures;
*
Ability to act as a representative of ESC to the public;
*
Ability to effectively communicate and coordinate with other staff members and individuals from diverse backgrounds;
*
Ability to maintain strict confidentiality in all matters pertaining to the department;
*
Ability to prioritize and multitask while paying attention to detail;
*
Ability to maintain accurate records;
*
Ability to operate relevant computer systems, including hardware and software, and simple office machines;
*
Skilled in use of computer applications, including Internet research, word processing, spreadsheets, and database.
PHYSICAL AND ENVIRONMENTAL CONDITIONS
Work requires minimum demand for physical effort.
Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices or meeting and training rooms, or motor vehicles, e.g., use of safe work place practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, and/or working in moderate outdoor weather conditions.

COMPENSATION & STARTING DATE
The salary range for this position is from ($20,000-$25,000), depending upon qualifications. Generous benefits, vacation and leave schedules. The person hired will begin work as soon as he or she is available.
