Position Overview:
The Administrative Assistant is a newly created position responsible for developing and coordinating office operations while serving as an assistant to the President. The Administrative Assistant reports to the President and the Director of Operations. This position is responsible for maintaining office services and records, building office efficiency and assisting the President.
Responsibilities:
1. Develop and coordinate office operations:
- Help develop and implement office organizational systems
- Maintain office equipment and organizational system of office records
- Manage company vendors
- Monitor incoming phone and email inquiries (infrequent)
2. Provide executive assistance to the President:
- Assist with scheduling, meeting preparation and travel logistics
- Help with miscellaneous administrative tasks
3. Provide human resources support:
- Help orient and train new employees
- Research and schedule training opportunities for staff
- Maintain master calendar of staff vacation leave and sick days
- Oversee employment compliance
4. Maintain office records and efficiency:
- Keep document templates up to date and accessible
- Oversee equipment purchases and maintain office supplies
- Set up and manage purchase requisition system
- Assist with accounts billable and receivable
5. Perform other related duties as required
Qualifications:
Candidates must meet the following criteria:
- Ability to maintain a high level of information accuracy and detail management
- Minimum 3 years of office administration experience
- Ability to keep firm and client business strictly confidential
- Ability to work a flexible schedule, and travel when needed

- Ability to effectively manage time and stress
