Description

~ The Vermont Youth Conservation Corps is a non-profit service, conservation, and education organization modeled after the 1930's Civilian Conservation Corps. ~

The mission is to instill values of personal responsibility, hard work, education, and respect for the environment in young people. Young adults aged 16-24, work, live, and study together in small groups, completing priority conservation projects throughout Vermont under the guidance of highly-trained leaders. Our programs range from North Carolina to Michigan and focus on a range of work from traditional conservation projects to agriculture.

Position Overview

The Administrative and Finance Manager plays a key leadership role in the management and oversight of all financial and administrative operations of the VYCC headquarters office. This person will be a leader of an administrative team dedicated to the financial stability and efficient operation of the VYCC.

The job will entail business functions including purchasing, payments, payroll, budget development, grant reporting,
management of insurance policies, and development of human resource operations. A strong focus of this position will be to execute all financial operations for the organization and develop business systems.

The Administrative and Finance Manager will oversee the day-to-day operations of the headquarters office including communication management, office equipment service and contracts, facilitation of staff meetings, and providing assistance with technology. This person will supervise the Administration and Finance Coordinator and additional staff as necessary.

The ideal candidate will have a desire and willingness to enhance the quality and efficiency of the organization and will work closely with all headquarters staff on a variety of issues. In addition, this person will be enthusiastic about working among a highly professional, dynamic staff in a growing organization.

Environmental Factors

This position will be based out of the restored West Monitor Barn which serves as VYCC Headquarters office in Richmond, Vermont. The office currently houses sixteen year-round staff. Varying numbers of interns and volunteers also assist with special projects throughout the year. The Administrative and Finance Manager must be able to maintain focus and productivity among a bustling office atmosphere while sharing space with others.

The VYCC is an organization driven by the team approach. The Headquarters staff is a group of highly motivated and extremely dedicated people who each bring different strengths and experiences to the VYCC operations. Full-time staff must balance personal initiative and independence with an ability to effectively utilize the team process to get results.

Responsibilities 

Financial Responsibilities 

  • Manage all fiscal functions of the organization in accordance with generally accepted accounting principles and federal accounting standards 
  • Develop annual organizational budget, oversee key staff in the budgeting process, provide training and oversight for staff, monitor budget progress throughout the year 
  • Manage expense allocations across multiple funds and programs 
  • Lead the annual audit, assist with 990 preparation and oversee periodic audits from granting agencies 
  • Process payroll and associated tax payments and reconciliations, produce W2 and 1099 forms  
  • Ensure the integrity of financial data by reviewing and implementing financial systems
  • Manage the financial aspects of grants including budget preparation, expense monitoring, reporting, and invoicing 
  • Produce monthly and year-end financial reports for the Board of Directors, President, staff, and external parties, effectively communicate financial matters 
  • Develop and manage purchasing systems and manage cash flow  

Administrative Responsibilities 

  • Support field programs through training, development, and review of administrative documents and systems 
  • Manage organizational insurance policies including general liability, property, auto, worker's compensation, and unemployment 
  • Manage all systems related to recordkeeping to ensure proper administrative documentation 
  • Oversee supply purchases and inventory, manage office equipment 

Human Resources Responsibilities 

  • Develop, maintain, and administer human resource policies and procedures 
  • Facilitate staff meetings, professional development trainings, and new employee orientations 
  • Manage/oversee hiring paperwork and personnel files for all positions 
  • Manage benefits, unemployment claims, and worker's compensation claims 
  • Review current organizational systems and propose changes 
  • Advise on staffing, hiring, and long-term planning 

Qualifications 

  • Strong foundation of fiscal knowledge, an understanding of non-profit accounting is preferred 
  • Experience managing an office 
  • Experience supervising employees 
  • Strong computer and network understanding, experience, and skills 
  • Experience with professional accounting software, ideally Abila (formerly Sage/MIP) Fund Accounting 
  • Experience processing payroll 
  • Excellent written and oral communication skills 
  • Exemplary organization and time management skills 
  • Attention to detail 
  • Enthusiasm for the VYCC mission 


Desired Education and Experience
 

  • Undergraduate degree in accounting plus two years of related professional experience, or 
  • Undergraduate degree in any field supplemented by 20 credit hours of accounting courses with two years of related professional experience, or 
  • Master's degree in accounting, or 
  • Master's degree in business management or related field plus strong understanding of financial principles gained through coursework and/or professional experience
