~ Welcome! The mission of Walking Mountains Science Center is to awaken a sense of wonder and inspire environmental stewardship and sustainability through natural science education. ~
Walking Mountains Science Center is a 501(c)(3) nonprofit and was founded in 1998 (under the name Gore Range Natural Science School) after our founder, Kim Langmaid, recognized a need for region-wide environmental science education in the Eagle Valley that involves students K-12 in the natural world. Kim also saw the need for natural science programming for families and adults. She recognized that the same benefits we would provide for students; developing an interest in science, reconnecting them to the outdoors and building a stewardship ethic, were just as applicable to all ages.
Position Overview
This position was created to facilitate organization and department growth, support special events, and to manage our Raiser’s Edge Contact Management System.
Responsibilities
Administrative Support:
- Provides a range of administrative support for members of the Development team and liaises with Finance and Marketing departments on a regular basis.
- Administration and primary management of Raiser’s Edge Contact Management System, including but not limited to: donor records management; gift model management; running queries and pulling lists as needed; running payment batches.
- Generates weekly donor report and call list, processes acknowledgement letters.
- Works with Development and Marketing to compile distribution lists for all Walking Mountains mailings and email outreach: donor appeals (spring fundraising letter, year-end campaign); programmatic mailings (min. 4 annually); special event invitations (min. 4 annually).
- Generates end-of-year financial reporting and coordinates necessary donor outreach for both the Fiscal Year (July 1) and the Calendar Year (Dec 31).
- Coordinates Board and Board Committee meeting preparation, including but not limited to, scheduling, room setup, food/drink purchasing, creation of meeting materials, minutes note taking, RSVPs etc. as necessary for each meeting.
- Manages and updates organization profiles and registrations annually: Examples are Colorado Gives Day; GuideStar; Charity Navigator; Secretary of State Certificate of Good Standing.
- Coordinates gift processing and acknowledgements for Colorado Gives Day; provides general support on overall Colorado Gives Day/Eagle County Gives initiative (Aug-Dec).
- Coordinates with Finance Department on monthly reconciliations of Raiser’s Edge/QuickBooks as well as for the annual audit in the fall.
- Complete all post-fundraising event financial reconciliation and data entry.
Special Event Support:
Supports and assists with a broad range of activities around Walking Mountains’ special events, including, but not limited to:
- Fundraising – A Taste of Nature, Escape Cabin Fever.
- Donor Stewardship – Cultivation events (2x annually), annual film screening.
- Engagement & Awareness – home-based “friend raisers”.
- General – Board meetings, staff/board holiday party, partner events.
Qualifications
Skills:
Computer and Database:
- Proficient in Raiser’s Edge, Microsoft Office including Word, Excel, Publisher and PowerPoint.
- Assist in further automating and digitizing internal systems.
General:
- Work as a team player and maintain positive attitude in a friendly work environment.
- Must be able to multi-task and work in a flexible, change-oriented environment.
- Must be organized, detail-oriented and have a pro-active attitude.
- Special projects and assignments as needed.
Education and/or Experience:
- Degree in related field preferred but may be substituted with experience.
- Strong computer, organizational and communication skills are required.
- Minimum of 2 years of experience working in an administrative capacity and at least one year of experience working with a non-profit or similar environment.
- Demonstrated ability to organize, prioritize, and multi-task efficiently is essential.
