Description

~ The Columbia Land Conservancy (CLC) works with the community to conserve the farmland, forests, wildlife habitat and rural character of Columbia County, strengthening connections between people and the land. ~

Since our founding in 1986, the Columbia Land Conservancy has collaborated with partners to preserve the County’s vibrant rural character. We have conserved more than 30,000 acres of farmland, forests, and wildlife habitat to ensure clean air and water, healthy ecosystems, a strong agricultural sector, and a rich variety of outdoor recreational opportunities.

CLC works with the community to cultivate connection to the land by providing outdoor and educational activities at our 10 Public Conservation Areas, to support agriculture by ensuring prime farmland continues to be available to the next generation of farmers, and to promote land protection and smart land use planning.

Position Overview

The Development Coordinator is an integral member of CLC’s Development Team that manages all aspects of the donor program. Primary responsibilities include developing, organizing, and implementing donor cultivation-solicitation-stewardship strategies and staging donor/community cultivation and solicitation events. Facility and ease with both behind-the-scenes database management and real-time donor relationship management are essential.

  • Reports to: Director of Philanthropy

Responsibilities

Major Gifts Management:

  • Works with the Executive Director, the Director of Philanthropy, and the Development Committee to ensure that each current and prospective major donor has a clear strategy and timeline for cultivation, solicitation, and stewardship.
  • Manages scheduling to ensure regular contact by the Executive Director, the Director of Philanthropy, and/or Board of Trustees with major donors. Provides meeting support materials for visits and follow-up information as needed. Ensures that solicitation history and tracking reports are current in Raiser’s Edge/NXT donor management database.
  • Works with Executive Director, Director of Philanthropy and other Development staff/volunteers to design and execute events targeted to current and prospective donors.
  • Provides support as needed for the planned giving program.

Events Management:

  • Serves as the organization’s lead staff for donor and community cultivation events including conceptualizing, designing, and evaluating special events. Develops and adheres to event budgets and oversees all event program logistics.
  • Works with appropriate staff to ensure that all events are on-brand and well communicated.
  • Works with Communications Manager and other staff on design and production of all event related materials, including publicity and invitations. Serves as staff liaison and ensures appropriate staffing (staff, board members, interns, and volunteers) at all events.

Donor Management:

  • Ensures accurate segmentation and timely mailing of customized appeal and acknowledgment letters; manages all donor reporting for staff and board; works with Director of Philanthropy to finalize donor solicitation, thank-you letters, and related materials; works with Communications Manager to create high-quality donor outreach materials.
  • Works with the Director of Philanthropy and other staff to ensure proper and timely processing of all gifts and donations pursuant to internal guidelines and standards; ensures proper and timely record keeping of all donor data.
  • Manages all aspects of the direct mail solicitations including the Annual Fund appeal and special appeals and campaigns. Tracks outstanding pledges and payment schedules and conducts timely and regular follow-up.
  • Conducts regular analysis of donor and fundraising giving trends and history and prepares reports for the Executive Director, the Director of Philanthropy, and the Board of Trustees. Responsible for accurate compilation of donor listings for the Annual Report and other projects.
  • Reconciles all financial and donor giving data with Operations staff.

Database Management:

  • Serves as in-house expert on the membership/donor database (currently Raiser’s Edge/NXT) and trains staff as their positions relate to the database.
  • Champions the use of the database to its fullest capacity by ensuring that it is configured for maximum efficiency, information is current and accurate, and is functioning to create all necessary reports and other outputs. Updates usage manual as necessary.
  • Oversees the regular expansion and enhancement of the database as required.

Qualifications

Education and Experience Requirements:

  • Bachelor’s Degree and 1-3 years of Development experience; or an equivalent combination.
  • Strong development, event coordination, and communications experience.
  • Proven communications skills including experience writing appeal and event copy.
  • Willingness to work beyond conventional office hours for events and donor activities.

Knowledge, Skills, and Ability:

  • Excellent organizational skills and attention to detail. 
  • Proficiency with Blackbaud’s The Raiser’s Edge/NXT database and Microsoft Office software.
  • Discretion with highly confidential information.
  • Demonstrated oral and written communication skills.
  • Management of multiple simultaneous projects and related tasks.
  • Effective in an environment featuring both a high degree of collaboration and independence.
  • Professionalism and maturity in social environments, respectful comportment under pressure.

Physical Demands:

  • Must possess mobility to work in a standard office setting and to use standard office equipment (including a computer), strength to lift and carry files weighing up to 25 pounds, vision to read printed materials and computer screen, and hearing and speech to communicate in person and over the telephone.

Work Environment:

  • Standard Main Street office setting with regular occasions in some of the most beautiful natural places and coolest venues that Columbia County has to offer.
