~ Position Summary ~

An environmental foundation in Los Angeles seeks to hire an Event Coordinator to join its Innovative Partnership team. 

The Innovative Partnerships team cultivates and manages relationships with corporate and institutional partners, as well as, oversees the foundation’s fundraising activities.

The Event Coordinator will be responsible for managing a variety of high-end fundraising events, donor events, and donor cultivation activities to raise revenue to support the foundation’s grantmaking activities. The foundation plans to host approximately 12 events a year (2-3 large events, and the rest smaller, more intimate events). The Event Coordinator will report to the Director of Innovative Partnerships.

Responsibilities

Event Management:

  • Envision and develop innovative, meaningful and unique fundraising events.
  • Manage all aspects of the foundation’s fundraising events.
  • Ensure events are as close to zero-environmental impact as possible (zero-waste, etc.).
  • Develop Pre-Event Summaries for all events – outlining event goals, target market, fundraising targets, etc.
  • Manage event production firm and/or any outside vendors, when necessary (for larger events).
  • Create and manage event budgets.
  • Conduct event research.
  • Manage event planning.
  • Execute smaller events – and oversee event production team to execute larger events.
  • Manage RSVP/registration processes.
  • Oversee the creation of all event materials – Save the Date, Invitations, event programs, thank you letters, etc.
  • Manage vendor RFPs and contracts.
  • Provide on-site event management and troubleshooting.
  • Create Post-Event Evaluations that analyze and evaluate each event’s success.
  • Source and secure all thank you gifts.
  • Prepare all event documentation, including incorporating event information into Salesforce.
  • Oversee event collections and revenue analyses.
  • Prepare event presentations, financial reports, and analyses for the Director, as requested.

Partnership Events:

  • Contribute to the design and development of events with foundation
    partners, as needed.

Donor Relations:

  • Develop and recommend guest lists for foundation events.
  • Assemble donor research to facilitate donor cultivation for events, as
    needed.
  • Provide on-site guest relation services at foundation events to ensure
    that all guests have exceptional experiences.

Qualifications

Education:

  • 4-year undergraduate degree

Experience:

  • At least 5 years of event planning and/or fundraising experience.
  • Experience working on environmentally-conscious events is a plus.
  • Experience working with artwork and/or auctions is also a plus.

Skills:

  • Proven ability to plan and manage successful fundraising events.
  • Proven ability to maximize event revenue and impact, while minimizing event costs.
  • Ability to deliver low-environmental impact events.
  • Exceptional problem-solving skills.
  • Success in managing event timelines.
  • Experience creating and managing event budgets.
  • Exceptional multi-tasking and time management skills.
  • Creative and innovative approach to event design.
  • Exceptional customer service/guest relation skills.
  • Outstanding interpersonal and team building skills.
  • Excellent verbal and written communication skills.
  • Proficiency with all Microsoft Office applications – strong Excel skills are required.
  • Experience working with Salesforce is a plus.

Compensation: Salary (including excellent benefits package) commensurate with nonprofit industry standards and applicant’s experience.
