~ Independent Natural Food Retailers Association (INFRA) is a purchasing cooperative owned and governed by natural and organic food retailers of all sizes working together to forge a sustainable future. INFRA facilitates member collaboration to strengthen independents' position in the marketplace. ~

Position Overview

The Director of Operations’ primary function is to manage, develop, and oversee INFRA internal office systems and functions, including IT, general operations and office support to the INFRA staff. This position plays a critical role in collaborating with the leadership team in strategic decision making and operations as INFRA continues to grow and build capacity.

This role reports to the CEO. Position is full-time exempt, located in the St. Paul office. Occasional travel may be required.

Responsibilities

Essential Department Functions:

  • Anticipate, plan, and arrange to meet the needs of a growing office
  • Oversee procurement of office equipment and supplies
  • Manage office lease, contracts, vendors and service providers
  • Ensure INFRA compliance with necessary record keeping
  • In collaboration with IT Manager, scope, plan, and implement technology plan
  • In collaboration with Financial Manager, ensure all financial duties of the association are accurate and timely
  • Vision and collaborate across departments to project and anticipate future needs for smooth, efficient, and seamless changes in current operating systems
  • Oversee systems development and implementation for consistency of electronic storage and filing of documents and records
  • Accountable to ensure adequate security measures and backup systems are in place always, including remote team members
  • Ensure business insurance is adequate and kept up to date to meet the needs of the Association
  • Plan and manage INFRA staff trainings, retreats, and events
  • Collaborate with Management Team to maximize communication avenues across INFRA
  • Work with Management Team to oversee and execute internal systems to manage extensive travel needs of a national membership and stakeholder group except for the CEO, who is managed by the Executive Assistant

Team Management:

  • Direct Operations Team members including Financial Manager, IT Manager, Office Coordinator, IT Assistant, and future department positions; collaborate and coordinate financial oversight in absence of CEO
  • Approve work plans for operations team and set clear measurable goals that support the strategic priorities of INFRA; support the execution of these goals through quarterly reviews
  • Coach and support the team to achieve identified professional growth and development    

General Operations Support:

  • Support INFRA Directors with program development
  • Support CEO where requested
  • Plan for, and participate in, Association annual planning and budgeting
  • Prepare and submit quarterly Board reporting to CEO

Qualifications

Knowledge, Skills, and Abilities:

  • Successful track record in setting priorities, prioritizing, and goal setting
  • Strong analytic, organizational, and problem-solving skills which support and enable sound decision making
  • Demonstrated ability to work with teams and groups
  • Excellent communications and relationship building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders
  • Willingness and ability to learn and grow to meet changing program requirements
  • Self-directed; success with taking initiative
  • High level of Mac, PC, and IT proficiency
  • Entrepreneurial spirit
  • Perseverance, tenacity, and compassion
  • Creative, innovative, and fiscally conservative
  • Ability work over 8 hours in a single day as needed

Education and Experience Requirements:

  • Degree in Business Administration, Project Management, or equivalent experience
  • At least 7-10 years of overall professional experience with broad financial and operations management experience
  • 5+ years supervisory experience
  • Experience with consensus building
  • Experience developing systems and procedures
