Position Overview

Under the general supervision of the Assistant Vice Chancellor, the incumbent provides program support and manages communications for Environmental Planning and Sustainability projects. This position has a 8-5, Monday through Friday work schedule.

Responsibilities

  • Assists in the production of documents, graphics, presentations, and content for UCI planning and sustainability programs including the Climate Action Plan, Water Action Plan, and Green Labs Program. Organizes, develops and posts clearly written materials for campus Sustainability website and other social media sites, with particular attention to the information needs of various campus audiences.
  • Works with campus stakeholders to strategize, organize, and develop clear communication materials and instructions for use by campus customers.
  • As the Office Manager, the incumbent is responsible for the smooth administrative functioning of Environmental Planning and Sustainability. The incumbent operates independently and is responsible for the management and oversight of Office's complex calendar, recharging activities, procurement functions, and financial reconciliation of ledgers. Coordinates payroll/personnel activities and responsible for space/equipment management.
  • The incumbent analyzes and determines required actions for a variety of complex projects with regards to campus planning and sustainability programs.
  • Responsible for review of administrative processes and determining best practices to ensure smooth operations. Special projects as needed may also be necessary.

Qualifications

Required:

  • Ability using Microsoft Outlook, Word, Excel, and Power Point, and the ability to learn new computer software and systems.
  • Proficient in graphic design using Adobe Creative Suite including Photoshop, Illustrator and InDesign.
  • Skills and experience using web content management systems (CMS).

  • Strong organizational skills to manage a diverse workload, prioritize projects, and establish strategies and action plans to achieve targeted objectives.
  • Proven ability to work independently with minimal supervision.
  • Strong analytical skills to understand problems and offer viable solutions.
  • Skill to balance and prioritize multiple projects simultaneously.
  • Proven ability to work as a member of a team and collaborate effectively with colleagues.
  • Skill in writing concise, logical, grammatically correct reports, memos and correspondence.
  • Skill to communicate orally and in writing to a broad cross section of the population, including students, professional staff, faculty and the general public.
