How to Write a Successful Press Release

  1. Create a Headline: A teaser sentence that succinctly summarizes the key point you want to get across. It entices the reader to read the full text. Include your organization's name and limit it to one line.
  2. Date Line: The city and state where your press release originates and the date your release is transmitted.
  3. Paragraph #1: Grab the reader's attention by stating your most important point: a new contract, technology or award to announce, for example, or an invitation for the public to attend a conference.
  4. Message: In the main section, detail the who, what, when, where, why, and how much of your announcement. Include one or two quotes from someone in your organization and/or an outside expert.
  5. About Us: It ends with a short paragraph that describes your Organization - who you are, where you're located, what you do. If you're sending a joint press release with another organization include this for both organizations, each a separate paragraph.
  6. Contact Information: The person you want the press and others to contact regarding the release. Include name, phone, email, website URL.
